Handbook for the Mechanism Of Complaints of the Faculty Members
Al Jouf University aims to provide an academic work environment to enhance the concept of teamwork and mutual respect among all employees, which shall be positively reflected on the quality of the outputs of the education. Sometimes problems arise and may lead to a negative impact on the performance of the faculty staff. Therefore, a clear mechanism was developed to address complaints and grievances of members of the faculty.
What are the reasons that lead to complaints or grievances?
Any administrative decision related to the rights of the faculty members.
A complaint about another faculty member.
A complaint about the immediate supervisor of the faculty member.
Complaint against any financial decision related to the financial rights of a faculty member.
Compliant against any academic decision regarding scientific research or promotions for faculty members.
Suffering pressure, coercion, or unlawful request from one of the university’s employees to act illegally, to apply/not to apply a certain procedure that would violate the duties of a faculty member related to integrity and secrecy.
Complain against the outcome of performance appraisal
Establishing a committee to examine the complaints and grievances:
A committee shall be established to examine the complaints and grievances of the faculty members and their peers by a decision of His Excellency the President of the University. The said committee shall be chaired by His Excellency the Vice President for Academic Affairs and the membership of the members who will be nominated by the chairman of the committee with their legal and functional characteristics. The duration of the committee’s business shall be one year from the date of the decision of establishment.
The Duties of the Committee shall be Examining the Complaints and Grievances:
Examining the complaints and grievances of the university’s faculty teaching staff members against the administrative decisions issued for them or the abuse of one of the university’s employees.
Achieving the principle of transparency and justice through applying a clear work mechanism that clarifies the procedures followed in complaints and grievance submitted by faculty members.
Achieving equality and justice in a manner that does not contradict the rules and regulations.
Limiting complaint submission against the university before the judicial authorities.
Contributing to achieving job stability the faculty members of the university.
Contributing to addressing the deficiencies in the administrative procedure that marred the decision upon grievances, (if any)
Complaint or Grievance Procedure:
The friendly reconciliation methodology comes as a first step to solving the problem. This matter is practically applied in the university customs derived from the principles of tolerant Islamic law, according to Quran rule, “making peace is better”. Then any neutral party may intervene to reconcile the two parties to ward off the aggravation and development of the problem. Al Jouf University authorizes the immediate supervisor of the academic department to apply the initial stages of resolving minor disputes within his responsibility in applying the educational, management and financial affairs set out in the regulations according to article no. (44) of the Higher Education Council System. In some cases, in which the head of the department is unable to resolve these disputes, the next path shall be submitting them to the dean/deanship of the college for examination, according to his responsibility, which was determined by the regulations, according to article no. (37) of the Higher Education Council System.
The complainant should submit his complaint in writing according to the attached complaint form and fill in all the information required, in addition to attaching a statement of the decision, subject of the grievance (if any) or any documents that support the subject of the complaint.
The complaint or grievance should be submitted to the immediate supervisor, where the latter submits it to the Dean of the college and then to the relevant committee.
The complaint or grievance is rejected if the required data are not completed in the complaint form or proven incorrect, while taking the necessary measures if repeated.
The committee shall respond in writing to the complainant or petitioner that it was received. The response should include the complaint number, date, and details, as well as the complainant’s information or grievance, together with the expected time to respond thereto.
The committee carefully examines and verifies the complaint, then writes a report with appropriate recommendations and submits it to His Excellency the Rector.
The President of the University shall take the appropriate decision for the complaint or grievance, according to article No. 7 )99(of the regulations governing the affairs of Saudi university employees, faculty staff members and the like, according to the recommendations of the Committee to examine the complaints and grievances. The faculty member and the relevant authority shall be notified about the decision taken.

Al-Jawf University signed a memorandum of cooperation with the branch of the Human Rights Commission in the Al-Jawf region, to enhance cooperation between them in areas that serve human rights and contribute to spreading awareness among members of society.

HRH Prince Faisal bin Nawaf bin Abdulaziz Al Saud, Governor of Al Jawf Region, praised the recent decisions issued by the administration of Al Jawf University, which witnessed more empowerment of women and investment of female competencies in leadership positions at the University, stressing the importance of redoubling the effort and investing the support and guidance of the wise leadership supported by God in preparing the students of the University and providing them with skills that help them contribute to the development of their country and their leadership, wishing the University success and repayment.
This came during the reception of His Highness the Rector of Al-Jawf University in charge of Prof. Dr. Bader Al-Zaree and members of the University Council, informing His Highness of the progress of work at the university with the start of the second semester of the current academic year, where the Dean of Admission and Registration at the University, Dr. Nasser Al-Otaibi, provided statistics on the electronic admission and registration processes that took place in preparation for the beginning of the semester, including the number of students, which exceeds 25,000 students in various branches and disciplines, as well as scholarship students from multiple countries.

Conference on Enhancing the Role of Women at Al-Jawf University Recommends the Importance of Highlighting the State's Efforts in the Field of Women's Empowerment and Support
Al-Jouf University concluded the work of the second conference to enhance the role of Saudi women in the development of society in the light of the vision of the Kingdom, which was organized virtually during the period from 17 to 18 November 2020 under the patronage of Her Highness Princess Madawi bint Saud bin Abdullah, and the recommendations of the conference stressed the importance of concerted efforts between state institutions to raise the percentage of women's participation in various fields of work, study the material and moral obstacles facing women and develop appropriate solutions to overcome them to help empower them.
The conference recommended the need to highlight the development efforts made by the State to empower women in the historical, cultural, social and economic context of the Kingdom and with an integrated holistic view, in addition to informing Saudi women of contemporary challenges and raising the level of community participation.
The recommendations included the establishment of an office specialized in women's empowerment issues related to the educational aspect in the Ministry of Education, the activation of Saudi women's empowerment programs at the level of educational and educational forums, as well as the review of the programs of productive families and the intensification of the training of these families in accordance with the requirements of the labor market.
The conference also recommended strengthening the efforts of development, training and marketing of projects run by women in line with Vision 2030, intensifying health awareness for women, and the need to pay attention to the bright models of pioneering Saudi women, especially in the fields of education and charitable work, and spreading the culture of volunteerism among members of society and its institutions through training programs that address this to various segments of society.
The recommendations also included relying on strategic planning for social and charitable development work programs in non-profit sector organizations, developing mechanisms of charitable work and raising the efficiency of workers in this sector, which reflects positively on the quality of charitable work, and establishing a database of charitable work literature at the national level.
The Conference called for the development of explicit policies and procedures that serve and support women investors, encourage their access to loans and services, facilitate procedures for obtaining the necessary guarantees, as well as activate women's advisory centers to follow up on projects that women can undertake.
The Conference called for the convening of an international conference on environmental, traditional and heritage crafts for the conservation and transmission of heritage to future generations in systematic ways, the provision of information support and advisory services for the development of knowledge power, raising awareness of the most important local and international economic laws and regulations, working to care for women with special needs, providing them with moral and material support and providing an enabling environment at all stages of education, especially in the post-public education stage.
The participants in the conference urged all concerned parties to invite successful women entrepreneurs, open panel discussions in which inspiring success stories are presented, and pay attention to the academic and educational aspect by opening specializations in various universities according to integrated and comprehensive strategic planning that serves the labor market and charitable work.
At the end of the conference, the Vice President for Graduate Studies and Scientific Research, Dr. Salem Al-Anzi, thanked the participants for the distinguished scientific effort that was presented, and the recommendations that contributed to enhancing the role of women in the development of society, stressing that the university continues to support everything that contributes to achieving the vision of the country and the aspirations of its leadership in its various objectives.
